Keynote Speaker RFP Template

Use this template when a speaker search needs to move from loose research to a comparable request for proposal. It keeps the buying committee focused on audience fit, keynote outcomes, fee scope, customization, production, and usage rights.

Event and audience context

  • Event date, city, venue, and whether the format is in-person, virtual, or hybrid.
  • Audience size, seniority, roles, industry, and the decisions or behaviors the keynote should influence.
  • Conference theme, internal priorities, and any stakeholder outcomes the speaker should support.

Keynote topic and format scope

  • Preferred topic direction: AI adoption, Strategic Urgency, customer loyalty, marketing, leadership, or industry-specific change.
  • Session length, keynote placement, Q&A expectations, workshop add-ons, emcee needs, or fireside-chat support.
  • Whether the event needs a practical implementation framework, executive inspiration, audience energizer, or all three.

Fee, rights, and production details

  • Budget range, travel expectations, hotel nights, ground transportation, and onsite schedule constraints.
  • Recording, replay, internal training, press, livestream, and promotional usage rights that need approval before contracting.
  • AV setup, stage format, confidence monitor, microphone preference, slide deadline, and rehearsal or tech-check timing.

Customization and decision process

  • Decision timeline, buying committee, procurement requirements, and contract approval path.
  • Pre-event briefing participants, audience research available, and examples of past sessions that landed well.
  • How the team will judge success after the keynote: survey scores, internal alignment, lead generation, retention, or behavior change.

Questions to ask every keynote speaker

Can you share a recent full-length keynote video for a similar audience or event type?
How do you customize examples, stories, and takeaways for our audience rather than delivering a standard talk?
What does your team need from us before the event to make the keynote specific and useful?
Which keynote topics are the strongest fit for our audience and why?
What is included in the quoted fee, and what requires separate approval or scoping?
What AV, rehearsal, travel, recording, and usage-rights details need to be settled before contracting?
